Title: Parent Activity Coordinator

Reports to: Associate Director for Family Services

FLSA: Exempt

Job Responsibilities


  • Learns and adheres to the philosophy and mandates of Head Start/Early Head Start as outlined in the Performance Standards and the Policies and Procedures of Greater Bergen Community Action

  • Assists in reviewing and updating all parent boards

  • Assists in making and updating Parent Activity Calendar that includes date and time of parent meetings, scheduled trips, workshops, etc.

  • Assists in distributing the Parent Activity Calendar to parents, director, associate directors and social service staff

  • Assists in revising and re-distributing the Parent Calendar of Events as necessary

  • Assists in the formation of Parent Committees and Policy Councils at all sites

  • Works closely with the Area Director to plan and set-up Policy Council Meetings

  • Communicates with all department heads to coordinate workshops for parents

  • Communicates and coordinates with Community Partners to deliver workshops/services for families

  • Assists in recruitment of families to enroll in our program

  • Assists in scheduling, planning and arranging all parent committee meetings

  • Assists in ensuring all newly elected parent officials (Chair, Co-Chair, Secretary, Bilingual Representative, etc.) have received adequate training to perform their assigned tasks(s)

  • Assists in ensuring that parent meeting minutes are prepared and distributed to Area Director

  • Assists in developing flyers, reminders and makes phone calls (as necessary) regarding parent meeting dates. Distributes flyers to remind parents of meeting dates

  • Assists in coordinating Male Involvement events and Fatherhood Initiative activities

  • Assists in coordinating with the Area Director and/or program manager, meetings and planned events based upon grants and/or other monies awarded

  • Attends all activities, staff training, pre-service and professional day trainings

  • Assumes and performs any other additional assignments as directed by the Area Director and/or program manager in order to ensure the effective servicing of the clients in our care

  • Responsible for the overall safety of each child in the GBCA HS/EHS program

  • According to the New Jersey mandated reporting guidelines, any person having reasonable cause to believe that a child has been subjected to abuse or acts of abuse should immediately report this information to the State Central Registry (SCR). If the child is in immediate danger, call 911 as well as 1-877 NJ ABUSE (1-877-652-2873)


Knowledge of:

  • Writing, filing and maintaining concise and accurate reports, correspondence and other written materials

  • Organizing, setting priorities and exercising sound judgment within area of responsibility

  • Utilizing agency resources to successfully answer parent questions

  • Methods of identifying and assessing social needs

Ability to:

  • Organize, set priorities and exercise sound independent judgment within areas of assigned responsibility

  • Interpret, apply, explain and reach sound decisions in accordance with regulations, policies and procedures

  • Organize and maintain specialized documentation and maintain workable file system

  • Comprehend and apply laws, regulations, policies and procedures relative to the provision of a day care operation

  • Communicate effectively orally and in writing

  • Prepare clear, concise and accurate reports, correspondence and other written materials

  • Exercise tact, objectivity, sensitivity, strategy and judgment in dealing with volunteers, parents and staff

  • Maintain client and staff confidentiality

  • Utilize agency resources to answer parent questions and referrals

Qualifications:

  • Bachelor’s Degree in Education or a related field

  • Professional demeanor and the ability to get along well with others

  • Two years’ experience planning events that involve community members, parents and/or other groups of individuals

  • Proficient in Word, Excel, Publisher and other computer applications.

  • Bilingual a plus

  • Valid NJ driver’s license preferred, local travel is required
